Reporting to the Director of People & Culture, you will maintain accurate records, coordinate onboarding and help employees find answers to routine questions. You will partner with Finance and IT so approved changes reach the systems and people that need them.

This position combines service-minded communication with careful administration. You will maintain reliable records of requests, follow approved procedures and identify issues that need specialist review. The work includes supporting managers through recurring processes while protecting employee confidentiality and avoiding assumptions about decisions that belong to leadership, payroll or legal advisers.

Responsibilities

  • Coordinate onboarding schedules, required records and manager checklists for incoming employees.
  • Maintain employee information and process approved changes through the relevant people systems.
  • Communicate employment changes to Payroll and IT using controlled, documented handoffs.
  • Respond to routine employee questions using approved policies and escalate complex or sensitive matters.
  • Coordinate leave and attendance administration with the director and relevant advisers.
  • Support review cycles, training records and manager reminders without substituting for managerial judgment.
  • Organize offboarding checklists with managers, IT and Finance, tracking outstanding actions.
  • Maintain people-process documentation and flag repeated questions or errors that indicate a need for improvement.

Required qualifications

  • Experience in people operations, human resources administration or a comparable employee-support role.
  • Ability to maintain accurate records and coordinate multiple time-sensitive administrative workflows.
  • Sound discretion when working with personal and employment information.
  • Clear written communication and a practical, respectful approach to employee questions.
  • Comfortable use of people systems, spreadsheets and shared task-management tools.

Preferred qualifications

  • Experience coordinating onboarding with IT, Payroll and distributed managers.
  • Familiarity with maintaining policy acknowledgments and training records.
  • Experience improving administrative processes in a growing organization.

Measures of success

  • New employees receive coordinated onboarding with clear owners for outstanding actions.
  • Approved employee changes reach the relevant systems accurately and on time.
  • Routine requests are resolved consistently and sensitive matters reach the appropriate decision-maker.
  • Employee records and process documentation remain complete and appropriately restricted.

First 90 days

Map onboarding, employee changes and offboarding with the director, Finance and IT. Review active checklists and record completeness, then take ownership of the shared request log. Coordinate initial onboarding cases, document recurring questions and propose a short list of administrative improvements based on actual delays or missing information.

Compensation

Proposed annual base salary of $65,000–$90,000 USD. The final offer will reflect relevant experience, qualifications and the agreed scope of the position, subject to approval. This range covers base pay only; any incentive compensation or benefits would be specified separately in an employment offer.
