Position summary
The Intellectual Property & Rights Coordinator will maintain the records that connect LSO Media Group’s content and brand assets to their approved uses. Reporting to the Chief Legal Officer, you will help organize agreements, permissions and supporting documents for media, marketing and corporate teams. The work may involve programming, photography, music, contributor materials, trademarks and other licensed assets.
You will make practical rights information easier for authorized colleagues to find while referring ambiguous terms and legal conclusions to counsel. The role requires careful reading, organized metadata and prompt follow-up when evidence is missing. You will support distribution and campaign planning by making restrictions, expiration dates and required acknowledgments visible before materials are used.
Responsibilities
- Maintain an asset and rights register linked to the relevant agreements, permissions and supporting records.
- Record approved usage information such as territory, duration, platform, attribution and other documented restrictions.
- Collect missing rights materials from internal owners and escalate unresolved questions before planned use.
- Track license expirations, renewal dates and action owners for assets that remain in use.
- Coordinate rights checks for planned releases, campaigns and distribution changes under Legal’s direction.
- Maintain records of brand registrations and related deadlines using information supplied by counsel or advisers.
- Support responses to rights inquiries by gathering facts and routing requests to the appropriate legal owner.
- Prepare clear internal reference notes and improve the handoff of rights records between teams.
Required qualifications
- Experience in rights administration, media operations, legal administration or detailed asset management.
- Ability to read agreements carefully and record explicit terms without assuming permissions that are not documented.
- Strong organization of files, metadata and deadlines across numerous assets.
- Clear follow-up communication with creative, commercial and legal colleagues.
- Sound confidentiality practices and a relevant qualification or equivalent professional experience.
Preferred qualifications
- Experience with television, film, digital publishing or licensed marketing materials.
- Familiarity with media asset management or rights-management databases.
- Experience coordinating contributor permissions, music licenses or trademark record administration.
Measures of success
- Priority assets have traceable rights records and accessible supporting documents.
- Teams receive clear notice of documented restrictions and unresolved permissions.
- Expiration and renewal dates reach the responsible owners before planned reuse.
- Ambiguous rights questions receive legal review instead of unsupported assumptions.
First 90 days
Review how rights records are currently collected and used with Legal and media teams. Select a priority set of active assets, link their supporting documents and identify missing evidence. Establish consistent usage fields and renewal reminders, then pilot a rights-check handoff for an upcoming release or campaign and document outstanding questions for counsel.
Compensation
Proposed annual base salary of $60,000–$85,000 USD. The final offer will reflect relevant experience, qualifications and the agreed scope of the position, subject to approval. This range covers base pay only; any incentive compensation or benefits would be specified separately in an employment offer.
What to include in your application
Describe a rights or asset-record project you coordinated and how you handled missing or ambiguous permissions. Explain your method for making restrictions and deadlines usable to other teams.
